for Volkswagen Group France

Created in 1960, Volkswagen Group France is the French subsidiary of Volkswagen AG, one of the world's leading carmakers. Its role is to market in France the products, spare parts and accessories of the Volkswagen, Audi, SEAT, CUPRA, SKODA and Volkswagen Commercial Vehicle brands.

Through its 6 brands, 700 distribution sites and 800 service sites, it delivers over 200 000 vehicles a year.

At the heart of Volkswagen Group France (VGF) operations, NOVAE is positioned as a strategic partner, providing first-rate support through several business units specialized in the control of warranty claims initiated by the network.

Context & challenges

A year ago, NOVAE took over the warranty claims control market for VGF, after a transition period with the previous service providers. This transition was accompanied by a takeover of over 80% of the team, with an efficient handover of resources to ensure seamless continuity.

Today, under the supervision of Alexandre, our project manager, a team of 23 experts, based in Villers-Cotterêts, provides a demanding service for the Group's brands (Audi, SEAT, Cupra, Volkswagen, Volkswagen Commercial Vehicles and Skoda) in mainland France and French overseas departments and territories.

Activity units

NOVAE operates through several specialized business units:

  1. Front Office (FO): Reporting to Mélanie, this team of 4 provides essential support in the warranty claims process, including helping dealers to issue claims in line with brand standards.
  2. Back Office (BO): Under Thimothée's supervision, this team of 8 experts meticulously checks warranty claims before payment, ensuring their technical, administrative and justified compliance with the Warranty. Their technical expertise plays an essential role in this task.
  3. Cost Monitoring: Headed by Benjamin, this 6-member team certifies warranty claims after payment, guaranteeing their conformity with operations carried out. The team also supports the network in the Guarantee processes to be followed, in order to limit any discrepancies in the compliance of guarantee requests.
  4. Parts inspection: This 2-person team physically checks parts, guaranteeing their warranty coverage. This activity is also carried out remotely through an innovative 360 video device to limit its carbon impact.
  5. Warranty Cost Analysis: Ensure that the business software is parameterized to best meet dealers' specific warranty needs.
  6. Warranty System Manager: Providing IT support and system analysis, this person is essential in maintaining the IT infrastructure needed for smooth operations.

An interview with Alexandre, VGF's Guarantee Control Manager

Hello Alexandre, could you tell us a little more about your role at NOVAE and your involvement in steering the warranty business for Volkswagen Group France (VGF)?

My role is to meet VGF's needs by managing warranty-related activities, ensuring compliance with the manufacturer's requirements in terms of quality and control volume of warranty claims invoiced by the Group's six brands.

NOVAE has set up referents within the various warranty support units. Could you tell us what their role is and how this improves operations?

The cell referents focus on an in-depth analysis of their activities. Their ability to suggest improvements enables us to optimize the performance of all our warranty cells.

The warranty teams play a strategic role for VGF and are in direct contact with the dealerships. What specific skills are needed to fulfill this role, and how does NOVAE develop them within its teams?

Each cell has specific skills according to its field of activity. For example, in the BO and Cost Monitoring units, 100% of our staff are trained automotive technicians. In addition, each new member of staff who joins the business undergoes a test and follows a training curriculum based on the needs of the unit in which he or she works.

We've heard about the innovative 360 video project initiated by the Parts Control team. Could you tell us more about this innovation and its impact on parts inspection operations?

360 video reduces logistics by 60%. In addition to its ecological benefits, this program improves our productivity by reducing handling requirements.

As the automotive industry continues its technological shift towards clean energies (electric, hydrogen, etc.), what impact will this have on the Volkswagen Group France dealership business and support?

Sales of electric vehicles are rising steadily. To date, we have not yet measured the exact impact on warranties. However, our teams are adapting and training to accommodate this new technology in our warranty processes.
